Why Every Manager Needs Data Literacy in 2026

You don’t need to know Python or become a data analyst to be a successful manager, but in 2026, to understand information, question metrics and turn data into action are becoming essential skills across almost every business area.


Companies today rely on CRMs, dashboards, analytics platforms, AI tools, management systems and huge amounts of information. The challenge is no longer simply having access to data, is knowing which data matters, what questions to ask and what decisions to make based on it. That is where data literacy comes in.

What does Data Literacy really mean?

Data literacy is the ability to read, understand, question and use data to make better decisions. For managers, this doesn’t mean carrying out complex statistical analysis, it means being able to look at a report or dashboard and ask:

  • What has changed?
  • Why might it have changed?
  • What should I compare it with?
  • Is this a real trend or a one-off result?
  • Can I trust the data?
  • What decision should I make based on this information?

In other words, data literacy isn’t about producing more numbers. It’s about understanding what those numbers are telling you.


According to the Future of Jobs Report 2025 by the World Economic Forum, analytical thinking remains one of the most important core skills for employers, while AI and big data are among the fastest-growing skills expected in the coming years.

Managers don’t need to be Data Analysts

One of the biggest misconceptions about working with data is that you need a highly technical background. You don’t.


There is an important difference between analysing data as a profession and using data to manage a business.


A data analyst may work with databases, statistical models or advanced visualisation tools. A manager has a different responsibility: understanding what those results mean for the business and deciding what to do next.


Imagine a dashboard showing that sales have increased by 15%.


At first glance, that sounds like good news.


But a manager should look beyond the headline number and ask:

  • Where is that growth coming from?
  • Have profits increased too?
  • Did the company have to spend significantly more to achieve that growth?
  • Is growth coming from every market or just one?
  • Is it sustainable?

The number provides information. The questions turn that information into useful business insight.

Data is everywhere in business

In Business Management, teams increasingly use data related to employee turnover, absenteeism, recruitment, retention and performance. Understanding these indicators can help managers identify workforce challenges and make better decisions about talent and organisational development.


In Human Resources, managers may work with indicators such as revenue, profitability, operating costs, growth, budgets and overall business performance. An increase in revenue may look positive, for example, but it only tells part of the story if costs are rising faster or profitability is falling.


In Project Management, data helps managers track budgets, resources, deadlines, risks and deviations from the original plan. A project may appear to be progressing well while costs are increasing or key milestones are starting to fall behind schedule.


In Supply Chain and Operations, indicators such as inventory levels, lead times, demand forecasts, costs and delivery performance can help managers assess operational efficiency and identify potential problems before they become critical.

The key question remains the same: What decision can we make based on this information?

Having a dashboard doesn’t make a company Data-Driven

Many companies now use dashboards, CRM reports, ERP systems, spreadsheets, analytics platforms and artificial intelligence tools. But having the technology doesn’t automatically mean that decisions are truly data-driven.


Imagine that a company’s operating costs increase by 20% in one quarter.


The immediate reaction might be to cut spending across the organization, but a data-literate manager would investigate first:

  • Which costs have increased?
  • Is the increase coming from one department or the whole organisation?
  • Has business activity increased as well?
  • Are those additional costs generating more revenue or productivity?
  • Is this a temporary change or part of a longer-term trend?
  • Could supply chain, staffing or operational issues be affecting the result?

Without this context, a company can make fast decisions but not necessarily good ones.


Being data-driven doesn’t mean having more reports. It means using information critically to make better decisions.

Five Questions Every Manager Should Ask When Looking at Data

You don’t need a complex analytical framework to start making better use of data. These five questions can already change the way you read a dashboard or business report.


1. What Has Changed?

Start with the movement. Have sales increased? Have costs gone up? Has performance declined? Before looking for explanations, make sure you understand exactly what has changed.


2. Compared With What?

A number without context tells you very little. Revenue of €200,000 might be an excellent result if the target was €150,000. But it could be a concern if the company generated €300,000 during the same period last year. Data always needs context.


3. Why Has It Changed?

Once you identify the change, look at the factors that may explain it. The goal isn’t to find the quickest explanation. It’s to understand which variables are actually connected to the result.


4. Can I Trust the Data?

Incomplete, duplicated or incorrectly classified data can lead to the wrong conclusions. Before making a decision, check whether the information is accurate, up to date, complete and consistent.


5. What Decision Does This Data Support?

This may be the most important question of all. Data shouldn’t exist simply to fill reports or dashboards. Its real value comes from helping people decide what to do next.

How Can Managers Improve Their Data Literacy?

A good starting point is learning the main KPIs in your area and understanding not only what they measure, but why they matter to the business.


Managers can also build stronger data skills by getting into the habit of questioning dashboards, comparing different periods, breaking results down into segments and investigating possible explanations before taking action.


Another important skill is data communication. Understanding a metric isn’t enough. Managers also need to be able to explain to their team, a client or senior leadership what is happening, why it matters and what should happen next.


Finally, one simple question can improve almost any analysis.


Instead of starting with: “What data do we have?”


Start with: “What are we trying to understand?”


It may seem like a small difference, but it can completely change the way data is used.
